    Effective 26 October 2026 · Version 1.0

Axio360 Ventures Australia Pty Ltd ("TaxSnap", "we", "us") runs the TaxSnap platform: bookkeeping and tax-preparation software for Australian businesses and the accountants who work with them. This policy explains what personal information we collect, why, who we share it with, and the choices you have. It is written to follow the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

    1. What we collect

We collect only what the service needs.

    • Account details: your name, email address, phone number, and sign-in information.
    • Business details: business name, ABN, address, GST registration, and the people you invite to your workspace.
    • Financial documents and data you give us: bank statements, invoices, receipts, and the transactions we extract from them. These can contain personal information about you and about other people (for example, names on an invoice).
    • Work you do in TaxSnap: classifications, corrections, BAS and deduction reports, messages between you and your accountant, and notes.
    • Billing details: your plan and payment history. Card details are handled by our payment provider and never stored by us.
    • Technical data: device and browser type, IP address, and usage logs, used for security and to fix problems.

We do not intentionally collect sensitive information (such as health information). Please do not upload it.

    2. How we collect it

Directly from you (forms, uploads, messages); from people you connect to your workspace (such as your accountant or an invited team member); and from services you choose to connect, such as email forwarding, Google, Microsoft, or Xero. We only read from a connected service what you have allowed.

    3. Why we use it

    • To provide TaxSnap: reading your documents, classifying transactions, and preparing BAS and deduction reports.
    • To let you and your accountant work together, if you invite one.
    • To bill you, secure accounts, prevent fraud and misuse, and give support.
    • To improve and test the service. We use de-identified or aggregated data for this where we can.
    • To meet legal obligations, including tax and record-keeping laws.

We do not sell your personal information. We do not use your financial documents for advertising.

    4. AI processing

TaxSnap uses artificial intelligence to read documents and suggest classifications. To do this, the text and images of your documents and transactions are sent to our AI provider (currently Anthropic) under terms that do not allow them to train their models on our customers' data. AI output is a suggestion. You, or your accountant, review it before relying on it.

    5. Who we share it with

We share personal information only with:

    • People you authorise: your accountant or practice, and team members you invite, within the permissions you set.
    • Service providers that run the platform for us: cloud hosting and file storage (Amazon Web Services), AI processing (Anthropic), sign-in (Auth0), payments (Stripe), email delivery (SendGrid), and connected services you choose (Google, Microsoft, Xero).
    • Authorities and advisers where the law requires it, or to protect our rights.
    • A buyer or successor if our business is sold, with the same protections for your information.

Service providers may use personal information only to provide their service to us.

    6. Overseas disclosure (APP 8)

Some providers handle data outside Australia, including in the United States. Where we send personal information overseas, we take reasonable steps to make sure the recipient protects it consistently with the APPs, such as through contract terms.

    7. Google user data

If you connect a Google account (for example Gmail, or Google Drive to bring in your documents), we request only the permissions needed for that feature, and you can disconnect at any time.

    • We use Google user data only to provide the feature you turned on: finding and importing the financial documents you choose.
    • We do not use Google user data for advertising, and we do not sell it.
    • We do not allow people at TaxSnap to read it, except with your consent, to investigate abuse or a security issue, or where the law requires.
    • We do not use Google user data to develop or train generalised AI or machine-learning models.

    What each Google connection does

    • Gmail. TaxSnap asks for read-only access. It searches your mailbox for receipts, invoices, bills and tax or bank notices and reads only the emails that match. It cannot send, delete or change anything. For each email it keeps the documents and details it adds to your business, and a record of which emails it has already looked at (an identifier and the outcome, not the sender, subject or text), so none is processed twice. It does not keep a copy of your mailbox. Emails that are not about a transaction are not stored.
    • Gmail forwarding. If you set a filter in your own Gmail that forwards mail to your TaxSnap address, TaxSnap never gets access to your mailbox. The forwarded emails are handled the same way: transaction emails are added to your business and the rest are discarded.
    • Google Calendar. TaxSnap reads event titles, places, times and how many people are invited, to help check that a purchase relates to the business. It does not read descriptions or guest names, and skips events marked private.
    • Google Drive. You share one folder with TaxSnap's service account. TaxSnap reads the files in that folder to add them as documents. It cannot see anything else in your Drive.
    • Disconnecting any of these stops TaxSnap reading, revokes its access at Google where it was granted, and deletes the connection and what was kept to run it. Documents already added to your records stay until you delete them.

TaxSnap's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

    8. Microsoft user data

If you connect Outlook (a Microsoft 365 work or school account, or a personal Outlook.com, Hotmail or Live account), TaxSnap asks Microsoft for the minimum permission needed, and you can disconnect at any time.

    • We use Microsoft user data only to provide the feature you turned on: finding and importing the financial documents in your mailbox.
    • We do not use Microsoft user data for advertising, and we do not sell it.
    • We do not allow people at TaxSnap to read it, except with your consent, to investigate abuse or a security issue, or where the law requires.
    • We do not use Microsoft user data to develop or train generalised AI or machine-learning models.

    What the Outlook connection does

    • Outlook. TaxSnap asks for read-only access to your mail (the Microsoft Graph Mail.Read permission), plus your basic profile to show which account is connected. It searches your inbox for receipts, invoices, bills and tax or bank notices by their subject and reads only the emails that match.
    • Disconnecting. Disconnecting stops TaxSnap reading and deletes the connection, including the access tokens it holds, and what was kept to run it. Microsoft does not let an app remove its own access, so TaxSnap stays listed in your Microsoft account until you remove it there (personal accounts: account.microsoft.com/privacy/app-access; work or school accounts: myapps.microsoft.com). Once TaxSnap has deleted its tokens it cannot read your mailbox. Documents already added to your records stay until you delete them.
    • Some organisations only allow an administrator to approve apps. If yours does, ask your administrator to approve TaxSnap.

    9. Security

We protect information with access controls, encryption in transit, separation between customers' workspaces, and monitoring. No system is perfectly secure. If a breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires.

    10. How long we keep it

We keep information while your account is active and as needed to provide the service. Australian tax law expects businesses to keep records for years, so deleting your account does not delete records we must keep for legal reasons. When we no longer need information, we delete or de-identify it. You can ask us to delete your data or disconnect an integration at any time (section 12).

    11. Cookies

We use cookies that are necessary to keep you signed in and secure. We do not use advertising cookies. If we add analytics, we will update this policy.

    12. Your rights

You can ask to see the personal information we hold about you, to correct it, or to have it deleted. Email support@taxsnap.io. We will reply within 30 days. If we cannot give you access or make a correction, we will tell you why. Many details can also be changed directly in your account.

    13. Complaints

Tell us first at support@taxsnap.io and we will investigate and respond. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

    14. Changes to this policy

We may update this policy. We will post the new version here with a new effective date, and tell you about significant changes by email or in the app.
